The 4-step system we run
1. Log every cassette at sample time
Every cassette gets its serial ID logged in the inspection, with the sample type (indoor air, outdoor reference, surface) and the room or area. Not later. Not "I'll do it tonight." At the truck.
2. Submit with a single record per lab
Each lab submission is one record with chain-of-custody details, all cassettes, and the submission date. The job auto-advances from "Inspection" to "Awaiting Lab".
3. Trigger notifications on result receipt
When the lab uploads results, the customer gets an SMS and email automatically. The job advances to "Report". Nobody has to remember to send the email.
4. Attach the lab report to the job permanently
Six months later when the adjuster calls, you can pull up the cassette IDs, the chain of custody, and the lab PDF in three clicks.
