Privacy Policy

This policy explains what information RestorationWorkflow collects through our website and mobile app, how we use it, and the choices you have. Questions? Email hello@restorationworkflow.com.
Who we are
RestorationWorkflow is field operations software for mold, water, and fire damage restoration companies. Restoration Workflow is operated by Palm Tree Ventures LLC. You can reach us at hello@restorationworkflow.com.
Our role in handling information
For information you provide directly to us to create or administer a Restoration Workflow account, contact us, request support, or use our public website, Palm Tree Ventures LLC may act as the controller or business responsible for that information.
For customer, property, job, inspection, photo, document, lab, communication, and similar information that our business customers enter into Restoration Workflow as part of their work, Restoration Workflow generally processes that information on behalf of the business customer as a service provider or processor, as applicable.
The business customer remains responsible for having appropriate authority and any necessary permissions to submit customer and job information to Restoration Workflow.
Information we collect
- Account information you provide when you sign up or request a demo: name, company name, email address, and phone number.
- Job and customer data you enter into the app: job details, inspections, photos, notes, proposals, lab submissions, and the contact details of your own customers. This data belongs to you; we process it on your behalf.
- Property and job addresses you enter as part of normal app use. These are typed or selected by you.
- Website technical data: when you use our public website, our hosting, security, and analytics providers may receive technical information such as IP address, browser or device type, timestamps, and pages viewed.
- Photos and camera access (mobile app only), used solely to attach documentation to a job when you choose to take or upload a photo.
Restoration Workflow does not request or use your device's GPS or precise location. We do not collect payment card numbers directly; payments are handled by our payment processor.
How we use information
- Provide, operate, and support the app and website.
- Respond to demo requests, support questions, and account issues.
- Send service messages such as job notifications, reminders, and account alerts.
- Improve reliability, security, and product features through aggregate usage analysis.
- Meet legal, tax, and accounting obligations.
We do not sell your personal information, we do not use your data for targeted advertising, and we do not share it with data brokers.
Service providers
We share information only with vendors that help us run the product, under contract:
- Cloud hosting and database providers, for application data storage.
- Email and SMS delivery providers, for notifications you or your customers receive.
- Scheduling (Calendly) when you book a demo.
- Google Analytics, used on our public website to understand aggregate website traffic and usage. Google Analytics is not currently used in the Restoration Workflow iOS app.
Service providers are expected to handle information in accordance with applicable contractual, security, and legal requirements.
We may also disclose information if required by law, or in connection with a merger or sale of the business, in which case we will notify you.
AI processing
AI processing providers may be used to provide features such as report drafting, lab document parsing, photo and instrument analysis, and image or room classification. When a user chooses to use these features, relevant job information, documents, photos, or other content may be securely transmitted to these providers solely to provide the requested functionality. Restoration Workflow does not provide this information to AI providers for targeted advertising.
Data retention
We keep account and job data for as long as your account is active. If you cancel, we retain data for up to 90 days so you can export or restore it, then delete or anonymize it, except where longer retention is legally required. Demo and contact submissions are kept for up to 24 months.
Security
Data is encrypted in transit using TLS and encrypted at rest by our hosting provider. Access to production data is limited to personnel who need it to operate or support the service. No system is perfectly secure, so we cannot guarantee absolute security.
Your rights and choices
- Request a copy of the personal information we hold about you.
- Request correction or deletion of your information.
- Request deletion of your account and all associated data.
- Opt out of non-essential email by using the unsubscribe link.
- Revoke camera, photo, or notification permissions in your device settings.
To make a request, email hello@restorationworkflow.com. We respond within 30 days. Depending on where you live, you may have additional rights under laws such as the GDPR or CCPA, including the right not to be discriminated against for exercising them.
Children
The service is built for businesses and is not directed to anyone under 16. We do not knowingly collect information from children.
International users
We operate in the United States. If you access the service from outside the U.S., your information will be transferred to and processed in the United States.
Changes to this policy
We may update this policy as the product changes. We will update the effective date above and, for material changes, notify account holders by email or in the app.
